The position takes the overall responsibility for performing secretarial and office duties for the Executive Director; handling and managing all administrative matters for the day-to-day business within the Executive Director’s Office. Responsibilities and Duties -Establishmentof proper business correspondence, memorandum, reports and forms, including confidential nature. -Maintaining a filling system for divers data, memorandums and correspondence: On the PC’s hard desk and within filing system of the Executive Office. -Establishmentof minutes of meetings and transcribes dictation whenever required. -Arranging& reminding appointments for the firm’s Executive Director. -Receives opens and sorts all incoming mails; dispatches outgoing mails. -Administers the gathering of the necessary data to establish monthly attendance forecast for Department Managers/Heads; working days and days off for the firm’s Executive overview. -In absence of the Executive Director, he/she establishes in form of short notes daily reports about major happenings in the firm for the Director’s information. -Conduct researches on certain issues as requested by the director and come up with his/her own analysis & recommendations. -Performs duties as assigned on daily basis by direct supervisor.
